ValuTrack Assists Save The Bay With Barcode Technology

ValuTrack was approached by the Save the Bay organization to gain better accuracy of tracking swimmer start and finish times, maintain a high level of safety by tracking all swimmers who enter the water are accounted for at the end of the swim, speed up the registration process through bar code scanning and assisting in managing the data of each swimmer in each of the groupings of swimmers that enter the water.  This year, 475 swimmers will take part in the fundraising event.  ValuTrack worked with Save the Bay to understand their needs, made recommendations on how to improve the process and then engaged partners Z-Space and Epson to deliver a bar coded wristband tracking solution to ensure the event runs as smoothly and safely as possible.

How will it work?

• Each swimmer will be given a bar coded wristband with their unique swimmer ID number.  The color-coded wristbands and color ink jet printers are being donated by Epson.  
• Data Collection software created and donated by Z-Space keeps track of the swimmers that are in each wave (there are 4 "waves" or groups of swimmers with different start times). 
• On event day, each swimmers wristband will be scanned into their appropriate wave.
• At the start of each wave, the system will record the exact time when each wave of swimmers begin their swim.
• As each swimmer completes their swim, their wristband will be scanned to record the time they completed their swim.
• The software also provides a summary of how many swimmers are in each wave, how many swimmers have completed their swim and how many swimmers are remaining.  This will help ensure the safety of all the participant swimmers.
• The data will then be uploaded into an Excel file for further analysis by the swim coordinators at Save the Bay.

In the future, the sofware will be enhanced to further simplify the current process of keeping track of swimmers, keeping more accurate start and finish times, etc.
